STEP 1: Log into Workday
STEP 2: Locate the asset that you want to Copy. You can locate the asset from the Company Property section of the worker's profile or from the "SWIN - Find Assets" report
STEP 3: Once you've located the asset, hover over the Asset ID until this icon appears:
This opens up some actions. Choose Business Asset > Copy Asset
STEP 4:
a. Select the company the asset needs to transfer to (required)
b. Most likely if the company if changing, so is the cost center - update it here if applicable (optional)
c. Update the acquisition date if applicable. Today's date defaults in. (optional)
d. Click [Submit]
STEP 5: Once you've submitted, locate the Asset ID, hover over the Asset ID until this icon appears:
This opens up some actions. Choose Business Asset > Issue to a Worker
STEP 6:
a. Update the Transaction Effective Date if applicable, today's date defaults in. This date cannot be before the acquisition date of the asset. (Optional)
b. Enter the name of the worker the asset should be issued to (required)
c. Click [Submit]
The asset is now issued to the worker and is visible on their worker profile and in reports. You must now Remove the asset that has the old company assignment.
STEP 7: Locate the asset that you want to Remove. You can locate the asset from the Company Property section of the worker's profile or from the "SWIN - Find Assets" report
STEP 8: Once you've located the asset, hover over the Asset ID until this icon appears:
This opens up some actions. Choose Business Asset > Remove Asset
STEP 9:
a. Enter the effective date of the removal (required)
b. Choose reason 'Asset Company Transfer'. (required)
c. Enter comments regarding what company the asset was transferred to
d. Click [Submit]
The asset has been removed, is no longer issued to the worker and is not available to issue to another worker.
If additional assets need to be transferred to another company, repeat steps 2-9.
