Add Vaccination for Employee (HR Staff task)
Add Vaccination for Employee
HR representatives can now enter and view vaccinations for employees they support in the new area of Workday.
STEP 1: Log into Workday
STEP 2: Navigate to the employee you want to enter a vaccination for
Note: You can also enter Add Vaccination in the search bar to select the task
STEP 3: Click the Personal category > Vaccinations > Add button
Note: Previously approved or migrated vaccinations will be displayed here
STEP 4: Select the Vaccine Type
STEP 5: Select Vaccinated for the Vaccine status
Once you make selections in both fields, a new section for Vaccination Details will appear:
STEP 6: Select the Vaccine (this will show the vaccine manufacturer)
STEP 7: Select Primary Dose(s) Administered for the Vaccine Event Type
If Moderna or Pfizer, this selection is based on BOTH doses being completed. Please hold off on entering a COVID-19 vaccine until both doses have been administered (if Moderna or Pfizer).
STEP 8: Select Vaccination Event Date
If Moderna or Pfizer, this is the date that the 2nd dose was administered (for COVID-19 non booster). Please hold off on entering a COVID-19 vaccine until both doses have been administered (if Moderna or Pfizer).
STEP 9: Scroll down to the Attachments and Click [Select files] to upload a copy of the vaccination card provided to you by the employee.
STEP 10: Select Category EE File - Vaccination Docs
STEP 11: Click [Submit]
If you have the HR Partner security role, the vaccination is completed and visible on the worker profile and in reports. If you are an HR representative who is NOT the HR Partner, this will route to the HR Partner for review.
